Challenge

Sullivan Law Group was running on an on-premise system that was expensive and feature-limited. It couldn't accept online payments, and billing reconciliation across separate tools like QuickBooks and Excel took hours every week.

Solution

The firm moved to 8am™ MyCase to consolidate case management and payment processing into a single system, with automated payment plans, built-in trust accounting, and bank-linked reporting.

Results

With billing and payments running through MyCase, Sullivan Law Group automated recurring client payments, cut weekly reconciliation time, and consolidated trust accounting and reporting into one platform.

Key takeaways

  • Cut weekly billing reconciliation from 4–5 hours to under 20 minutes

  • Automated recurring client payment plans to reduce missed or late payments

  • Combined trust accounting, billing, and reporting in a single platform

Combining forces, choosing MyCase

After law school, attorney Paul Grass started his own firm before joining forces with Sullivan Law Group, combining client bases and resources. When the two practices came together, the firm adopted MyCase, the system on which Paul had already built his own practice.

“When I first joined the firm, we were using an on-premise practice management system,” Paul says. “The features were rudimentary, you could not accept payments online, and we were paying too much for what we were getting.” The gap between cost and functionality was wide enough that the firm made a change.

"We broke a 5-year contract with them to join MyCase," Paul says. "We chose MyCase because of the price, billing functions, ease of use, and document management."

Payments that live inside the case file

For Paul, moving billing into the same system as casework wasn't just about convenience. It removed a cost barrier, too.

"It was the same cost as I was paying with my other credit card system," he says. "If I can integrate our case management and payment processor without paying more, it's a no-brainer."

The firm's payment process starts with an initial down payment to confirm the client's commitment to the engagement, followed by an invoice and a month-to-month automatic payment plan. That structure helps Paul get ahead of one of the most common friction points in running a firm: clients who don't pay.

"The automatic payment plans are a huge plus," he says. "It means that clients pay consistently, because it's an automatic draw, and I don't even have to think about it.”

Having billing and invoicing linked directly to the firm's bank accounts also means Paul isn't bouncing between separate tools to make sense of the firm's finances.

"With MyCase, I don't need to go back and forth between Quickbooks, Excel, and other systems. I can do trust accounting too, which is just really, really helpful." — Paul Grass, Managing Partner

Manual work, automated

With payments running automatically, manual reconciliation was no longer something Paul had to think about.

“I used to spend four to five hours reconciling billing and client payments each week. Nowadays, I don’t spend more than 20 minutes a week on it,” Paul says.

Automated invoice reminders have also changed how the firm manages client communication around payments. "I have a button I click that says, 'Hey, send a reminder to this client about their invoice two days before,'" Paul says. "Clients respond with, 'Hey, I got that reminder. Thank you very much.' It's great."

Reporting has simplified too. Paul can pull a billing report, a full trust accounting report, or an invoice and account activity report without manually digging through his books.

“If you’re starting practice or if you already have a practice and you’re moving to a practice management system, MyCase is a great way of doing that with a quick onboarding and easy user interface.”

A system built for growth

With MyCase, Sullivan Law Group replaced an outdated on-premises system, cut weekly billing reconciliation time from hours to minutes, and brought case management and payments into one place.
